Start with the type of event

The amount of food you need depends largely on the type of gathering you're hosting. A seated dinner requires different quantities than a casual buffet, afternoon celebration or children's birthday party.

Consider how long the event will last, what time of day it takes place and whether food is the main attraction or simply part of the experience.

Seated dinner

For a traditional dinner, plan for approximately:

- 150–200 g (5–7 oz) of protein per person

- 200–250 g (7–9 oz) of potatoes, rice or pasta per person

- 150–200 g (5–7 oz) of vegetables or salad per person

- One serving of dessert per guest

If guests are likely to have second servings, increase quantities slightly.

Buffet

Buffets generally require more food because guests tend to sample multiple dishes.

A good rule of thumb is to plan for:

- Cake for all guests, including accompanying adults if invited

Keep the menu simple and familiar.

Snacks and appetizers

If snacks are served before the meal, estimate:

- 100–150 g (3–5 oz) per person for a short gathering

- 200–300 g (7–10 oz) per person if snacks are the primary food offering

Nuts, chips, vegetables, dips and small finger foods are usually popular options.

Desserts and sweets

For cake, desserts and sweet treats, one serving per guest is usually enough.

If multiple desserts are available, smaller portions often work better and reduce waste.

Drinks

For non-alcoholic beverages, plan for approximately:

- 1.5–2 liters (50–70 oz) per person for longer events

- Additional water during warm weather

If alcohol is served, consumption will vary significantly depending on the type of event and guest group.

Always allow a small buffer

A good rule is to plan for around 10% more food than your confirmed guest count. This provides flexibility for larger appetites, unexpected guests or second servings.

The goal is not to create excessive leftovers, but to avoid running out of food.
